Bookkeeper/Administrative Assistant

Now in Salt Lake City, our growing Culinary School has an opening for a Bookkeeper/Administrative Assistant. Park City Culinary Institute has 5-star ratings on Google, Facebook and Yelp and was featured in City Weekly’s Best of Utah 2017. We provide quality cooking programs for entrepreneurs, people interested in a career, and home cooks. We also host corporate and special events with cooking classes and cooking competitions.

To be a part of our growing school, locally training Chefs for some of the best restaurants. This role is involved with both our culinary training and corporate events businesses. You would be helping process new students, collecting and tracking tuition payments and paperwork. You would also be helping book events, collecting payments and filing contracts. For Accounts Payable, you would be reviewing invoices, and processing payments.

What is required:
This role requires being well organized, knowing how to prioritize, and extreme attention to detail. You would also have to be flexible and enjoy supporting diverse people in a hectic environment. The ideal candidate would have strong skills in Microsoft Excel and Word, and be familiar with QuickBooks. You will be serving as a receptionist, and also making collections calls. Hours are generally Monday through Friday, from 9am to 5pm with occasional earlier mornings and later nights to get the job done.

• Track students as they are accepted, collecting deposits, tuition and fees. This is done in Quickbooks and Excel. You will also be using Docusign to complete student enrollments.
• Track events as they are booked, preparing invoices in both Quickbooks and Excel, and collecting payments.
• You will be making collections calls, and sending out letters to collect money due.
• You will be making other phone calls to assist our sales team.
• Review invoices to make sure they are accurate, that they haven’t already been paid, that pricing is within our negotiated terms, etc. before being paid.
• Other bookkeeping.
• Greet people at the door, answer phones and respond to inquiries on LiveChat.
• Post and respond to messages on social media.
• Occasional purchasing online and from the grocery.
• We are a small business, so there is often other work you will be asked to do such as helping organize the kitchen, laundry, taking out the garbage, cleaning and other activities as needed.
• Previous experience in a busy office setting, anticipating the needs of colleagues
• Excellent time management skills and ability to multi-task and prioritize work
• Extreme attention to detail and problem solving skills
• Excellent written and verbal communication skills
• Comfort and accuracy with math
• Must work well with others as well as independently
• Strong organizational and planning skills
• High level of Microsoft Excel proficiency (including formatting, sorting, and basic formulas)
• Previous experience working with small business accounting software such as QuickBooks
• Comfort learning new cloud-based software such as Docusign, LiveChat, Zoho, etc.
• Position includes phone, receptionist, computer data entry, word processing, and filing duties.
